Transforming Mental Health Services at Everyturn Mental Health with PCMIS
Guided by its mission that “no one should struggle alone,” Everyturn Mental Health provides person-centred services such as talking therapies as well as dedicated services for children and young people, alongside a range of other mental health and wellbeing support tailored to individual needs.
As the organisation grew and demand for its services increased, it became clear that Everyturn’s NHS Talking Therapies services needed a more modern and integrated digital system. PCMIS was introduced to improve the management of patient information, streamline clinical and administrative processes, increase data visibility, and support better outcomes for both patients and staff.
Pre-PCMIS Challenges
Before PCMIS was implemented, Everyturn relied on outdated clinical systems that no longer met the organisation’s needs. Patient information was spread across multiple platforms, making it more difficult for staff to access records, produce reports, and share information with NHS and partner organisations. These limitations reduced efficiency, increased administrative workload, and highlighted the need for a single, integrated system.
PCMIS brought these processes together into one system, giving clinicians easier access to patient records and improving the way information is recorded and managed. It also provides better reporting, supports information sharing with other healthcare systems, and helps reduce administrative work. This has made it easier for Everyturn to manage increasing demand for services while meeting NHS and commissioner requirements.
Objectives and Requirements
Project Heart, delivered between 2023 and July 2025, was a major digital transformation programme that introduced PCMIS across multiple Everyturn NHS Talking Therapies services. The project replaced several legacy systems with one integrated platform, giving clinicians access to a single patient record and making it easier to record, access, and share information.
The move to PCMIS was intended to improve everyday clinical and administrative processes while supporting the organisation’s future growth. The system integrates with NHS services, provides real-time reporting, supports digital care pathways, and automates many routine administrative tasks. It also meets NHS requirements for information governance, audit trails, and reporting, helping Everyturn deliver a more efficient and connected service.

Why PCMIS
The decision to implement PCMIS was driven by the goals set out in the Project Heart business case. The organisation needed a modern system that could bring patient information together in one place, improve data quality, support interoperability, and make clinical and administrative processes more efficient.

It also enabled digital pathways that improve accessibility and user experience, while offering a proven, configurable off-the-shelf solution without the risks of full custom development.
Implementation and Onboarding
PCMIS was implemented as part of Project Heart, the phased rollout introduced PCMIS alongside other digital platforms, requiring close coordination across teams. Adoption was supported through structured engagement, role-based training, and ongoing support, enabling staff to adapt to new workflows. While challenges such as data migration, process redesign, and supporting staff through significant organisational change arose, these were effectively managed through strong programme governance, detailed planning, and collaboration, ensuring a smooth transition to a modern, integrated digital environment.
Day to day use
PCMIS supports a wide range of integrations and features that enhance both access and operational efficiency. Digital referral tools, including Limbic Access and web-based GP referrals, have improved accessibility, simplified the referral process, and increased the quality of referral information, enabling earlier intervention. Integrations such as SilverCloud, NHS PDS Spine Lookup, and PCMIS Choose & Book, alongside features like the PCMIS Patient Portal, automated SMS communications, and direct email – supporting modern, user-friendly service delivery. Additional capabilities, including Open Database Connectivity (ODBC) reporting, postcode lookup, and flexible case and location management, further strengthen data access and operational control. The introduction of Single Sign-On (SSO) has also improved user experience, providing simpler, more secure access.
Impact so far
The introduction of digital referral pathways, enhanced integrations, and improved patient engagement tools has strengthened access to services and supported a more responsive patient journey. While full benefits continue to be realised, the platform provides a strong foundation for improving accessibility and outcomes for Everyturn’s NHS Talking Therapies services.

Extending the PCMIS partnership

Building on the positive partnership developed throughout Project Heart, both organisations are now working together on the implementation of Safe Haven (for children and young people) pathway, extending the collaboration beyond NHS Talking Therapies to support additional service pathways. This continued partnership reflects a shared commitment to innovation, enabling Everyturn to maximise the value of its digital investment while benefiting from the ongoing expertise and support of the PCMIS team.
